How Hosted PBX VoIP Are Assets for Small Business Use

January 8, 2014
by Eric Dye

Traditional PBX phone systems were a helpful tool for large businesses. However, it was not always necessary or cost effective for a small business to implement such a system. Now virtual hosted PBX systems are available to small business at prices that fit within their budget. Since there is no hard-wired system, cost is limited to the service itself and can be as big or small as needed. Now a small business can enjoy the same tools as large corporations.

Virtual based PBX systems, better known as Hosted PBX VoIP work wherever there is an internet connection. Your small business can establish service and have a complete digital internet based communication network. Voice calls and even fax are available on any device connected to the internet.

Free Up Your Workforce

As a small business, you may not have a receptionist or operator. It is possible that any employee available will answer calls. Or you may be the only employee of the company. A virtual PBX system can provide you with an auto attendant to answer calls. There is no need for employees to balance workload with call volumes. The auto attendant can answer the call and prompt the caller to choose their call destination.

This still helps even if you have different departments within your office. The caller can call your main number and choose the appropriate option for the department they require. The call will be answered by the appropriate party. If there is a need for the caller to speak to another employee, the call can be transferred directly or sent back to the automated system.

Virtual PBX Systems Offer Options for All Users

Your virtual PBX Phone System is a multifaceted tool. It has benefits ranging from set up, to use, and even to changes in your need.

New users could can change from a traditional phone service provider and keep the same number. There is no need to get a new contact number just because you switched services.

Hosted PBX VoIP enables the ability to send faxes without the use of an additional line. There is no longer a need for a phone and separate fax line. Each extension can be backed by its own unique fax number. Faxes can be sent direct to each employee instead of a centralized fax machine. Furthermore, faxes are received digitally and can be accessed from the computer. Even if you are away from the office, faxes can be received on a smart phone or tablet computer.

Most VoIP equipment can be backed up by a battery. The modem’s back up battery will enable it to keep working even during utility outages. Even if desktop phones stop working during a power outage, a cellular phone connected to the network can be used. This is also helpful in emergency situations.

VoIP systems work through the computer so they can be protected by the same firewalls and levels of encryption that you use for e-mail and Internet browsing. Companies who deal with protected or sensitive information can transmit data and make voice calls with confidence.

Equipment Options That Fit Your Needs

Hosted PBX VoIP can utilize any type of desktop phone you may have in your business or office. Your system expands beyond that though. You can also use smart phones, tablet computers, or even a desktop computer. Any device equipped with speakers and a microphone instantly becomes a phone. Regardless of the device you use, all necessary calling features are still available.

I have looked into these before for our church, but they never made sense to me. It doesn’t matter how many virtual lines or boxes you have, if the physical location has only one real line, only one person can use the phone anyway. What am I missing with these that doesn’t require multiple physical lines besides?

And I do understand tablets, webcam microphones, and such, but that’s not quite the same as two or three people calling out or answering incoming calls.
